A case for integrated Document Creation and Digital Personnel Files

Effective human capital management relies on fast, accurate and reliable business processing. Whether the Human Resources (HR) function is distributed, or runs as a centralized shared service, HR executives require flexibility and control to handle a wealth of documentation. The demand for HR documentation is generally triggered by back-end processes in the human capital management module of the enterprise resource planning (ERP) system i.e. SAP HCM system. Once created, documents are often forwarded into another process for print or capture before being sent to the employee.

The documentation process can be repetitive, time consuming and manual, hindering qualified HR staff from undertaking the more skilled functions of their role. For instance, in one year, across an organization of 30,000 employees, the creation of only two individual documents per employee at an average of 15 minutes per document expends approximately 15,000 hours of skilled HR administration time.

A practical approach ensures fast implementation and rapid use of Accenture’s correspondence solution

Large and medium-sized companies use many personalized and standardized correspondence for their personnel which has to be developed, transmitted, and archived as efficiently as possible. Companies are looking at ways of providing targeted support for their documentation and correspondence management as part of the conversion and optimization of processes and ERP systems.

“For many companies, efficiency in documentation and correspondence management mainly means deciding between in-house development and a standard application,” says Christian Schäfer, a documentation management expert and head of the consulting team at Accenture Software for SAP Human Capital Management. He recognizes that the interaction between SAP and Microsoft Office, or other data and word processing applications, offers extensive functionality capable of creating standard letters or for template and text module management. Many companies use these tools for their correspondence for as long and as possible – sometimes even as the basis for their own developments. Schäfer regards the level of work generally involved in maintaining and updating these correspondence solutions as high – which puts pressure on specialists and IT departments. He also sees that the options for automation and integration with other applications are often very limited. “Many companies are unaware that their needs could be met by multi-faceted, high-performance, quickly-implemented and, above all, SAP Netweaver-based standard solutions, such as the Accenture Quick Document Builder (AQDB),” says Schäfer. “A lack of transparency and difficulties quantifying the differences prevent other decision-makers from comparing in-house and standard solutions to make a sensible decision.” License costs are usually easy to calculate, but it is often difficult to quantify the implementation and operational costs of a standard solution or the configuration costs for standardized and automated application scenarios and templates.
